Privacy policy

This policy explains what personal information the pocketphysio.app website collects, why, how long it is kept and what your rights are. It covers this website only. The PocketPhysio app at pocketphysio.virtuelife.ai is a separate service, and the privacy terms shown when you sign up for the app apply to your use of it.
Who is responsible for your information
The website is operated by 3328833 Nova Scotia Limited, operating as Lauruss Infotech, a company in Nova Scotia, Canada ("PocketPhysio", "we", "us"). We decide how personal information collected through this website is used, so we are responsible for it under the privacy laws that apply to you.
For any privacy question or request, email hello@pocketphysio.app with "Privacy" in the subject line. That address reaches the person responsible for privacy at PocketPhysio.
The short version
You can read every page on this website without an account, and we do not ask for your name. The clinical tools run in your browser and do not send what you type to us. We collect only the small amount of technical information needed to run the website, protect the exercise videos and apply the free video limit. We do not sell personal information, we do not show advertising, and we do not use your information to profile you.
What we collect and why
Information your browser sends to our server
Like every website, our server receives your IP address, the date and time, the page you asked for, the address of the page that linked you here and your browser type. We use this to deliver the pages, keep the website secure and find faults. Server logs are kept for up to 14 days and then deleted.
The free video limit
Anyone can play up to 20 different exercise videos in any 30 days without an account. To count them, the website uses:
- A cookie called pp_vl. It holds a random code for your browser and nothing else. It is only sent when a video is requested, it cannot be read by the page's scripts, and it expires after 32 days.
- A one-way code made from your browser's settings (type, language and similar details) and your network, so the count still works if the cookie is cleared.
- A one-way code made from your network address, which limits any one network to 200 different videos a day. This protects the library from automated copying.
These codes are made with a secret key, so they cannot be turned back into your IP address, browser details or cookie value. We store only the codes and which videos were played, never your IP address or browser details in readable form. Records older than 30 days are deleted automatically. We use this information only to apply the limit and protect the videos, never to identify you or for marketing.
Video links
When you press play, the website asks our server for a video link that works for about 5 minutes. The link contains a random code, not information about you.
Search and clinical tools
Exercise search runs in your browser using a list of exercise names downloaded with the page, so your search words are not sent to us. The clinical tools, such as the SOAP note template, the assessment form and the exercise sheet, run in your browser. What you type is not saved by the page and is not sent to PocketPhysio or anyone else. When you close or reload the page, it is gone. Please do not enter information that identifies a patient unless your own workplace rules allow it on your device.
When you email us
If you email us, we receive your email address, your name if you include it, and what you write. We use it to reply and to keep a record of the conversation. We keep emails for as long as needed to deal with your message and any follow-up, and no longer than 2 years after our last contact unless the law requires us to keep them longer.
Analytics
The website does not currently use analytics. If we add Google Analytics in future, it will load only after you agree in a cookie banner, you will be able to change your choice at any time, and this policy will be updated first. Advertising features will stay switched off.
Cookies
The only cookie this website sets is pp_vl, described above. It is needed to provide the free video library fairly and to protect it, so it is set without asking. The website does not use advertising cookies or cross-site tracking.
Health information
This website does not ask for health information. The exercise, condition and guide pages are general education, and reading them tells us nothing about your health beyond the technical details described above. Do not send us health details by email unless you need to, and never send urgent medical questions: we cannot give personal medical advice.
Who we share information with
We do not sell or rent personal information, and we do not share it for cross-context behavioural advertising. We share it only with:
- Service providers who host and deliver the website and its videos for us, such as our cloud hosting and content delivery provider (Amazon Web Services). They may process information only on our instructions.
- Our own team, including our product team in India, who need it to run and support the website.
- Authorities, where the law requires it or to protect the rights, safety and property of our users, the public or PocketPhysio.
- A buyer or successor, if the business is sold or reorganized. The new owner would have to protect your information as this policy describes.
Where your information is processed
PocketPhysio is operated from Canada. The website server and video storage run in India (Amazon Web Services, Mumbai), and videos may be delivered through data centres close to you around the world. This means your information may be processed in countries other than your own, including Canada, India and the United States, where the law may differ from the law where you live. When we transfer personal information from the UK, the European Economic Area or another country with transfer rules, we use the safeguards the law requires, such as standard contractual clauses.
How long we keep information
Server logs: up to 14 days. Video limit records: 30 days. The pp_vl cookie: 32 days in your browser. Emails: as described above. After that, information is deleted or made anonymous.
How we protect information
The website uses HTTPS encryption. Videos are encrypted and served through short-lived links. We collect as little information as possible, store the video limit records only as one-way codes, and limit access to the people who need it. No website is completely secure, but we will tell you and the relevant regulator about a data breach where the law requires it.
Your rights
Wherever you live, you can ask us what personal information we hold about you, ask us to correct it, and ask us to delete it. You can also withdraw any consent you have given. Because the video limit records are one-way codes that we cannot link to you, we may not be able to find them for a request, but they are deleted automatically after 30 days.
To make a request, email hello@pocketphysio.app. We may ask for information to confirm the request is yours. We reply within 30 days, or sooner where your law requires (20 working days in New Zealand). We will not charge you or treat you differently for using your rights. If you are not satisfied with our answer, you can complain to the privacy regulator where you live.
Canada
PIPEDA and, where they apply, provincial privacy laws give you the rights to access and correct your personal information and to withdraw consent. You can complain to the Office of the Privacy Commissioner of Canada.
United Kingdom and European Economic Area
Under the UK GDPR and the EU GDPR you also have the rights to restrict or object to how we use your information and to receive it in a portable form. We rely on these legal grounds: our legitimate interests in running, securing and protecting the website and its videos (server logs, video links and the video limit), our legitimate interests in answering your messages or taking steps you ask for (emails), and your consent (analytics, if added). You can object to processing based on legitimate interests. You can complain to the Information Commissioner's Office in the UK or to the data protection authority in your EU or EEA country.
Australia
We handle personal information in line with the Australian Privacy Principles in the Privacy Act 1988. You can ask to access or correct your information, and you can complain to the Office of the Australian Information Commissioner if you are not satisfied with our response.
New Zealand
We handle personal information in line with the information privacy principles in the Privacy Act 2020. You can ask to access or correct your information, and you can complain to the Office of the Privacy Commissioner.
United States
Some US states, including California, give residents the right to know what personal information a business collects, to access, correct and delete it, and to opt out of its sale, sharing for targeted advertising, or profiling. We do not sell personal information, share it for targeted advertising or use it for profiling, so there is nothing to opt out of. In the last 12 months, the only categories we have collected are the identifiers and internet activity described above (IP address, browser details, one-way codes and pages visited), and the contents of any emails you sent us. We do not collect sensitive personal information as defined in those laws. You can make a request by email, or have an authorized agent make one for you.
India
Under the Digital Personal Data Protection Act, 2023, you can ask for a summary of the personal data we process, ask us to correct, complete, update or erase it, withdraw consent, and nominate someone to act for you. For grievances, email hello@pocketphysio.app with "Grievance" in the subject line. If you are not satisfied with our response, you can complain to the Data Protection Board of India.
Children
This website is written for adults and for physiotherapists. It is not directed at children, and we do not knowingly collect personal information from children. If you think a child has sent us personal information, email us and we will delete it.
Links to other websites
Pages link to other websites, such as clinical guidelines, and to the PocketPhysio app. Their own privacy policies apply when you visit them.
Changes to this policy
When we change this policy, we will update the date at the top of this page. If a change affects how we use information you have already given us, we will explain it on this page before it takes effect.
